4.1 Data you provide directly

a) Identity and contact data, such as your name, email address, phone number, country, city, mailing address, and any details you submit through forms, bookings, purchases, or communications.

b) Account data, such as login details, profile information, account preferences, and records relating to your access to the Services.

c) Booking, registration, and purchase data, such as the services or products you purchase, event registrations, billing details you submit, transaction references, and order history.

d) Communication data, such as messages, inquiries, customer support requests, feedback, testimonials, survey responses, attachments, and other information you send to us.

e) User-submitted content, such as comments, reviews, form responses, questionnaire responses, and materials you choose to share with us.

4.2 Data collected automatically

When you use the Site, we may automatically collect certain technical and usage data, such as:

4.3 Data from third parties

We may receive limited personal data from third parties, such as:

a) Stripe, for card payment processing, payment status, fraud-prevention signals, refunds, and transaction references where Stripe is used

b) Hostinger and other hosting, website infrastructure, email, analytics, security, and technical service providers

c) HeySummit, for selected CoachVents event, webinar, workshop, and private-session registration, scheduling, ticketing, attendee management, booking-flow, and related event-platform functions

d) PayPal, where it is offered as a payment option, and advertising or social media platforms only where those integrations are enabled and you interact with them

4.4 Payment card data

CoachVents does not normally receive or store your full payment card number or card security code. Card payments for selected CoachVents bookings and tickets are handled by Stripe, including where checkout is initiated through HeySummit. Where PayPal is specifically offered, PayPal handles the relevant payment credentials under its own privacy terms. CoachVents may receive limited information such as payment status, amount, currency, transaction or refund references, and information reasonably needed to match a payment to a booking or order.

5. SENSITIVE PERSONAL DATA

Because some of our Services may relate to coaching, hypnotherapy, wellbeing, personal development, or spiritual exploration, you may choose to provide information that could be considered sensitive or special category personal data, such as information relating to health, wellbeing, emotional state, or similar matters.

We will only process such data where it is appropriate and where a valid legal basis and, where required by applicable law, an additional condition for processing applies, such as your explicit consent.

Please do not send sensitive personal data unless it is reasonably necessary for the Service you are requesting or receiving.

9.1 KEY PLATFORM ROLES

For selected CoachVents events, webinars, workshops, and private sessions, HeySummit provides registration, scheduling, ticketing, attendee-management, and related event-platform services. CoachVents remains responsible for the CoachVents offering and for the personal data it determines to collect and use for its own purposes. Depending on the processing context, HeySummit, Stripe, PayPal, Hostinger, and other providers may act as processors or service providers on behalf of CoachVents, or as independent controllers for processing they determine under their own terms and privacy notices.

When a third-party platform is used, data necessary to complete registration, booking, payment, access, support, security, or compliance may be transmitted to that provider. We seek to limit such sharing to what is reasonably necessary for the relevant function.

10. INTERNATIONAL DATA TRANSFERS

We may process or store personal data in countries outside your country of residence, including the United States and other countries where our service providers operate.

Where required by applicable law, and where personal data is transferred from the EEA, UK, or Switzerland to a country that is not recognized as providing an adequate level of protection, we will rely on appropriate safeguards, such as Standard Contractual Clauses, together with supplementary measures where appropriate.

14. MARKETING COMMUNICATIONS

If you subscribe to newsletters, updates, promotions, or similar communications, we may send you marketing emails or messages where permitted by law.

You can unsubscribe at any time by using the unsubscribe link in the message or by contacting us at office@coachvents.com.

Service-related messages, transactional emails, and essential account or booking communications are not marketing communications.

15. CHILDREN

The Site and Services are not intended for children under 16, and we do not knowingly collect personal data from children under 16 through the Site.

If you believe that a child under 16 has provided personal data to us, please contact us so that we can take appropriate steps.

The Site and Services may use or link to third-party providers, including Hostinger for website infrastructure, HeySummit for event registration, scheduling and ticketing, Stripe for card payment processing, PayPal where offered as a payment option, and other providers for video, email, calendar, analytics, security, forms, or communications.

These providers have their own privacy notices, security practices, terms, and responsibilities. We encourage you to review the applicable third-party policies when you use those services. Third-party names, trademarks, logos, software, interfaces, and platform content remain the property of their respective owners or licensors; CoachVents does not claim ownership of those rights.

18. AUTOMATED DECISION-MAKING

We do not currently use automated decision-making, including profiling, that produces legal effects concerning you or similarly significantly affects you.

If that changes, we will update this Privacy Policy as required.

19. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and update the Effective Date or Last Updated date.

If changes are material, we may provide additional notice where appropriate.
